FAQ for Housing Providers & Caseworkers

Updated · Reviewed against current HUD program rules

Housing authorities, navigators, social workers, and property managers all use SubsidizedHousing.org case links to work directly with voucher holders. Applicants share one private link with the people helping them; you log in with an organization account to verify status, update an application, or post updates.

This page answers the common questions. The short version: it is free, it is not a government service, and you only ever see what the applicant chose to share.

Who this page is for

PHA staff who confirm a household's voucher, navigators and social workers who guide applicants, and property managers who track applications. All three sign in through the same account system and see the tools for their role.

How registration and agency verification work

Sign up with a professional email address. For agencies (PHAs, navigators, and social-work practices) the domain is checked: government email domains (.gov, .mil) are approved automatically, and other organization domains are reviewed by our team before the agency can claim cases. This is what lets every member of your agency work its cases, not just the person who registered.

Frequently asked questions

What is a housing case link?
An applicant on SubsidizedHousing.org creates one private link per household and shares it with the people helping them. The link is token-protected and never indexed. It shows the household's stated needs and a trust label for their voucher — never voucher numbers, income, or documents.
I'm with a PHA or navigator agency. How do I claim and verify a case?
Register with a professional email and wait for your agency to be approved (a few days at most; .gov/.mil emails are instant). Then open the case link, and the claim form appears. You confirm the voucher's valid-until date and service area; that records the household as agency-confirmed, which signals to property managers that the holder is verified.
I'm a social worker. Can I use this too?
Yes. Register as a social worker with your organization email, get your agency approved, and you get the same claim-and-verify tools as PHA staff. You can also list yourself as the household's worker contact on the voucher so property managers know who to reach.
I'm a property manager. What can I do on a case?
Log in and you can update the application status (received, under review, approved, waitlisted, declined), post updates or requests for information, and see whether the household's voucher has been verified by an agency. Updating a status assigns the case to your property.
What does 'agency verification' mean and why does my whole team need it?
Once your organization is approved, the email domain is added to your agency. Any co-worker who signs up with that domain automatically joins the same agency and can see and work its cases — so if someone leaves, the cases stay with the agency and the next person can pick them up instead of starting over or losing access.
Is SubsidizedHousing.org a government website? Is there a fee?
SubsidizedHousing.org is an independent, privately operated service and is not affiliated with HUD or any housing authority.

Our Case Hub is free for applicants, agencies, and property managers. We never charge for basic access and never sell applicant contact information.

Organizations that require custom integrations, dedicated implementation, specialized workflows, data integration, or ongoing operational support can work directly with our team. These services are tailored to the organization's needs and are available by agreement.

What do I see about the applicant, and what do they see about me?
You see only the needs and trust level the applicant volunteered. Your agency name appears on the case as verifier. The applicant never sees your personal details you haven't written into a note — and case pages never carry voucher numbers, income, or identity documents.

Case worker view of a verified housing case
1 · An applicant shares a case with you

An applicant sends you a private case link. Signed in as a navigator, social worker, or PHA staff member, you see the household's needs, their move timeline, and a precise trust label for the voucher — never voucher numbers, income, or documents.

Caseworker casework inbox
2 · Your casework inbox

Cases you claim or verify land in your dashboard's Casework inbox. One click opens the case. Anything your agency already works stays with the agency, so a colleague can pick it up if you're out.

Property manager under-review status on a case
3 · Verify the household as agency-confirmed

PHA staff and social workers confirm the voucher's valid-until date and service area. The badge updates to Agency-confirmed so property managers know the holder is verified — this speeds up placement.

Property manager lead inbox with demand pool
4 · Property manager: track the application

A property manager updates the application status — received, under review, approved, waitlisted, declined, or housed. Every change is time-stamped and posted to the case's activity feed for everyone involved.

Application received status
5 · Application received

The first status a property manager can set. The applicant sees their case move forward on the journey stepper, and the manager gets the case routed into their lead inbox.

Additional information needed with a document upload
6 · Request more information — securely

Need pay stubs or ID? Post an update with 'Request more information'. The applicant gets a reply box with a secure document upload (PDF or image, max 5 MB). Only verified participants can ever view or download those documents.

Application declined, journey reset
7 · Declined or waitlisted

If there are no units, the manager can decline or waitlist. A decline is never a dead end: the journey resets to Voucher Approved so the applicant and their caseworker resume the search on the same case.

Housed case with placement follow-up
8 · Housed & placement follow-up

When the applicant moves in, anyone involved marks the case Housed and the journey completes. A structured placement follow-up then checks that the housing is working — still housed, at risk, or ended.

Renter dashboard with saved case links
9 · The applicant's side: one case, one link

The renter sees every case they've shared from one 'Your case link' card — and re-running the questionnaire always returns the same link, so they never create duplicate cases by mistake.

Applicant owner view of their case
10 · The applicant's view of their case

As the owner, the applicant sees exactly what you see plus their own actions — reply when information is requested, undo a mistaken 'Mark as housed', and jump back to their dashboard.
